How We Build. How We Manage.

Construction should be predictable. Our four-phase process is designed to eliminate surprises at every stage of your build.

Process Is the Differentiator

The typical renovation experience in the GTA follows a familiar pattern: loose estimates, missed timelines, poor communication, and a client left wondering what is happening on their own property. That isn't a trades problem — it's a project management problem.

Van Bouw is built around a project management-first model — defined scope, coordinated trades, a locked budget, and active site supervision. This is how every project we take on is run.

Every project comes with a dedicated client dashboard — a secure portal where you can track progress, review documentation, and follow along in real time. Organisation and communication are part of the product.

Phase 01Discovery & Planning

We Start With Clarity

Every project starts with a conversation — not a guess. We schedule an on-site visit, walk through your project in detail, and produce a comprehensive scope of work. You receive a detailed proposal that defines exactly what is included, what it costs, and when it will be complete. No vague estimates, no placeholder numbers.

Fixed Price Contracts

You know exactly what you pay before work begins.

What Happens in This Phase

1

Initial inquiry & consultation call

We learn about your project, your timeline, and your expectations before we step foot on site.

2

On-site discovery visit

We inspect the space, identify constraints, and ask the right questions to build an accurate scope.

3

Detailed scope of work

A written scope that defines every deliverable — materials, finishes, trades involved, and exclusions.

4

Detailed proposal

One number. No surprises. Any changes to scope require written approval from both parties.

Phase 02Pre-Construction

Everything Organised Before We Break Ground

The work that happens before construction is what separates a smooth project from a chaotic one. We coordinate every trade, build a detailed project schedule, handle permit applications, and lock the budget. By the time tools hit the site, every piece is in place. This phase is where most contractors cut corners — we don't.

Client Dashboard

Each client receives a dedicated secure dashboard — track progress, approvals, and documentation in one place.

What Happens in This Phase

1

Final scope sign-off

Final scope is reviewed and signed off before any work begins or deposits are drawn.

2

Trade coordination & scheduling

We line up the right subcontractors for each phase and build a realistic, sequenced timeline.

3

Permit applications

We handle building permit submissions and manage the approval process through your municipality.

4

Budget lock & contract execution

Contracts are signed, payment schedules are set, and the project is officially underway.

03

Phase 03Construction

Active Supervision. Constant Communication.

This is where we earn the trust you've placed in us. A dedicated Project Manager oversees the site from mobilisation to substantial completion. Trades are coordinated to avoid conflicts and delays. Quality is checked at every milestone. You receive progress updates throughout the build, not radio silence.

Project Management-First Approach

The founder you spoke with on day one is the same person managing your project on site.

What Happens in This Phase

1

Site mobilisation & trade sequencing

Trades arrive in the right order. Materials are staged. The site is set up for clean, efficient execution.

2

Active site supervision

Your Project Manager is present for critical milestones and in regular contact with site leads.

3

Quality control checkpoints

Defined inspection points throughout construction ensure workmanship meets the standard we promised.

4

Live progress tracking

Real-time updates, milestone photos, and change order tracking — documented every step of the way.

04

Phase 04Closeout

We Don't Leave Until It's Done Right

Completion isn't a formality — it's a standard. Every deficiency identified during the project is addressed before sign-off. We walk the project with you, item by item. Only when you are satisfied does the project close. You receive a full documentation package and the project is covered by our 1-year workmanship warranty from the date of final sign-off.

1-Year Workmanship Warranty

All completed work is covered for one year from the date of final sign-off. In writing.

What Happens in This Phase

1

Deficiency list & completion

Any items identified during construction or at final inspection are completed before the project closes.

2

Final walkthrough with client

We review every detail with you in person, address any outstanding items, and confirm the original scope was delivered.

3

Client sign-off

The project is formally closed only when you are satisfied with the result.

4

Documentation package

You receive all relevant documentation — permits, warranties, inspection reports, and project records.
